Nexus Search Partners is an executive search and talent advisory firm that collects and processes various types of personal data necessary to deliver our services. 1. Candidates / Advisory Service Participants

As part of our search and advisory services, Nexus Search Partners may collect the following categories of personal data about candidates and participants: name, contact details (such as email address, phone number, and mailing address), employment history, photographs, social media presence, qualifications, capabilities, professional assessments, interview feedback, and executive competencies. Information may be obtained directly from you, from public sources (e.g., news outlets or professional networking sites), or via third parties such as clients, references, professional contacts, and authorized background screening providers. This may also include interview recordings and transcript of professional conversations, where applicable. 

If you are being considered for a role in our recruitment process, we may also collect data related to your education, compensation details (as permitted by law), social or extracurricular activities, references, civil or marital status, gender, nationality, languages spoken, and/or communication history with us.

In support of our commitment to fostering equal opportunity, and in compliance with applicable local laws, we may (only when appropriate) request to collect information that qualifies as diversity-related or protected characteristics under California or U.S. federal law. This could include data on your race or ethnicity, gender, disability status, age, sexual orientation, religion, or socioeconomic background. Providing any or all of this information is entirely voluntary and declining to do so will not impact your assessment or candidacy. Some clients may request diversity information for compliance purposes, and in those cases, Nexus may share the relevant data related to your participation in a specific search engagement. 

If you engage in any of Nexus’ evaluative services such as culture evaluations, assessments, coaching programs, and/or any of Nexus advisory services, we may also opt to collect information about your work responsibilities, behavioral traits, development preferences, and any responses provided during assessments or surveys. Submitting demographic information such as age, gender, or ethnicity in this context is optional and will not influence your assessment outcomes.

2. Nexus Employment Opportunities

When you apply for a role listed by Nexus Search Partners or join Nexus as an employee, we collect certain personal details required to process your application or support your employment. This may include sensitive identifiers such as your Social Security Number or equivalent national identification number, depending on your location and local legal requirements.

3. Surveys and Feedback

If we reach out to you to solicit feedback (and/or you reach out to provide it to us) we may collect your name, email address, and any other information you choose to include so that we can respond appropriately. If you take part in a survey, we may also gather details you provide, such as your contact information, professional background, and your experience interacting with Nexus Search Partners.

4. References

If you provide feedback about an individual, whether as a reference, source, or in another relevant capacity, Nexus may collect and use that relevant information. This could include your name, contact information, job title, professional background, qualifications, work history, and the nature of your relationship with the individual in question.

We may obtain this information from the individual being referenced, from publicly accessible sources, and/or directly from you. Any insights or comments you share will remain confidential and will not be attributed to you when shared with clients or third parties, unless you have explicitly given permission for us to disclose otherwise.

5. Clients

If you are a client or service provider working with Nexus Search Partners, we may collect standard business contact information, including your name, phone number, email address, mailing address, job title, and relevant records related to the services being provided or received.

6. Online Activity and “Cookies”

Cookies are small data files sent to a computer’s hard drive when you visit a website. They are widely used to make websites more efficient and accessible to use. When visiting our website you may choose which cookies you allow; disabling cookies may limit the functionality of the website.

Use of Data Collected

This includes, but is not limited to, contacting you about searches or opportunities, verifying background and profile details, identifying and evaluating candidates, and presenting insights, analyses, or reports to our clients.

• Managing our relationship with you, which can include but is not limited to responding to your inquiries and providing customer support, and evaluating your potential candidacy or future status as a client

• As part of the recruitment process, Nexus may share information about prospective candidates with our clients. Once shared, clients may use and disclose that information in accordance with their own privacy policies and practices.

• Conducting verification of educational and professional credentials which may include background or press checks

• Inviting you to relevant events (e.g., forums, industry gatherings, charitable events) and/or sharing thought leadership or marketing materials directly with you

• Supporting and improving business operations (e.g., system maintenance, maintaining internal business records, including document storage, interview transcription, data analytics, benchmarking, statistics, and audit procedures)

• Enhancing our products and service offerings (e.g., anonymized or aggregated industry insights, such as hiring and compensation trends)

• Meeting legal, regulatory, or compliance obligations. We may disclose information in response to subpoenas, warrants, or court orders, or in connection with any legal process, or to comply with relevant laws. We may also share your information in order to establish or exercise our rights, to defend against a legal claim, to investigate, prevent, or take action regarding possible illegal activities, suspected fraud, safety of person or property, or a violation of our policies, or to comply with your request.

All personal data is stored securely within Nexus Search Partners’ database, which is accessible only to authorized personnel employed by Nexus.
